A well-written business letter adheres to the pyramid structure:
1. The opening section of your letter needs to explain exactly why the letter was written and what action you will be requesting from the recipient of the letter.
2. The body of the letter will break down what you are asking for into specific short requests. To make the process of reading and responding to your letter as simple as possible for your reader, provide a list of items or information needed. Include two to three requests or questions.
- Do not ask more than three questions.
- Remember to maintain parallel structure when listing items.
- Request SPECIFIC items not just “stuff about your work”; you are simply trying to find out about a new technique, process, or material used in your field.
- Make reasonable requests. (Don’t try to get the letter’s recipient to do all the work for your term project.)
- Be polite!
3. The closing segment of your letter needs to include when, how, and where to get in touch with you as well as any deadline you need to give the recipient.
- Be sure to give a date by which you need to receive the information.
- Clearly state where you wish to receive the information.
- Be polite! Don’t forget to thank the recipient .
