Direct vs Indirect Employee Termination Letter Memorandum

I’m working on a writing report and need a sample draft to help me learn.

You  are the managing director of a small firm that specializes in the sales and support of educational software.  As managing director, you’re responsible for overseeing 12 other employees and regularly keep track of their productivity, networking and how well they meet their sales quotas each month.

It is now time to perform an annual employee evaluation.  After reviewing the performance evaluations of each, you find that one of your employees, Samantha Marx, isn’t performing as expected.  In fact, Samantha has not met her quota for the last three months, has not networked with any new clients and has been slow in responding to her current clients.  You’ve determined that Samantha has become a liability for your firm and you will need to terminate her employment.  Unfortunately, Samantha has four children to support, needs to keep her job and was performing as expected prior to three months ago, so you expect that she will offer a rebuttal to her termination.

1) Write an introductory statement (not an entire memo) of one paragraph using direct address to open your letter of termination to Samantha.

2) Write an introductory statement (not an entire memo) of one paragraph using indirect address to open your letter of termination to Samantha.

3) You should make sure that each introductory statement focuses on facts that support your decision to terminate her employment.
